Every small business has the same hidden problem: how the work gets done lives in the owner’s head, and in a few long-serving employees. A new hire asks the same ten questions, training takes weeks of shadowing, and quality depends on who happened to train them.
Trainual is training and standard operating procedure software. It turns processes, policies and how-to knowledge into structured playbooks that new hires work through and anyone can search later. Our analysis is based on its published pricing page material, checked in October 2026. To see the plans, try Trainual.

What is Trainual?
Trainual is a platform for documenting how a business runs and training people on it. Companies build playbooks and SOPs (standard operating procedures), assign them by role, department or location, track completion and test knowledge. The goal the vendor sells is simple: document once, train every future hire from the same source, and stop answering the same questions. Trainual’s own FAQ says the product is best suited to companies with 25 to 1000 employees.
How much does Trainual cost?
Trainual does not publish prices. Its pricing page presents four Training Suite tiers, Core, Pro, Premium and Enterprise, each with a “Get a demo” call to action, and pricing is quote-based: you talk to sales and get a figure for your seat count. There are no public tier prices, per-seat rates or “starts at” numbers to budget from, and older Trainual prices circulating in third-party roundups are not on the vendor’s current pricing page.
The one money figure the vendor does publish is in its FAQ: a one-time implementation fee of $1,000, with dedicated implementation support for the first 4 to 6 weeks.
Because there are no public prices, compare the tiers by what they include. Feature summaries below are from the vendor’s pricing page, checked 2026-10-04:
| Tier | What the vendor lists |
|---|---|

What are Trainual’s key features?
Per the published material, the work groups by outcome:
Document the know-how. AI-assisted documentation, 500+ customizable templates, interactive flowcharts and built-in screen recording turn scattered docs, videos and chat threads into structured playbooks. A process written down once can be updated once, and every trainee sees the current version.
Deliver the training. Assign playbooks by role, department or location, with due dates and reminders. Pro adds individual training paths and training time estimates. Staff work through material in the mobile app or Chrome extension, with in-app language translation and an AI-powered knowledge search for quick answers.
Prove completion. Testing, tracking and reporting show who has completed what, so completion means something more than opening a page. E-signatures start on Pro at 300 per year and are unlimited on Premium.
Scale the controls. Premium adds custom branding, a custom domain and SSO. Enterprise adds API access and a dedicated Customer Success Manager.
Trainual states that more than 1.25 million employees have been trained on the platform, and it cites a 4.7 rating based on 2,000+ reviews. Both are vendor claims from its pricing page; the review source for the rating is not named there. The vendor also claims SOC 2 Type 2 certification, encryption in transit and at rest, PCI Level 1 compliant servers and daily backups.
Who should use Trainual?
- Growing companies in the vendor’s stated fit range. Trainual’s FAQ points to companies with 25 to 1000 employees whose training is tribal knowledge today.
- Owner-led businesses hiring repeatedly. The second hire in a role is where documented training starts paying back.
- Franchise-style and multi-role teams. Role-based playbooks keep locations and departments consistent.
- Businesses whose quality varies by trainer. One source of truth fixes the message.
- Managers drowning in repeat questions. A searchable SOP library is the point. When ready, start with Trainual.
Who should skip Trainual?
- Solo operators with no hires planned. A document you write for yourself does not need training software.
- Very small teams whose processes fit in a shared doc. With quote-based pricing and a $1,000 one-time implementation fee, a five-person team may be carried fine by a simple document.
- Buyers who need a published price before talking to sales. There is none. Every tier starts with a demo and a quote.
- Anyone expecting the content to write itself. Trainual holds your processes; someone still has to document them.
Questions to ask before you buy
- What is the total quote for my seat count? Get the number in writing, and ask how renewals are priced and what happens when you add people.
- What does the $1,000 implementation fee cover? The vendor FAQ pairs it with dedicated implementation support for the first 4 to 6 weeks. Confirm what is included for your rollout.
- What are the video storage and e-signature limits on my tier? Pro lists 15 GB of video hosting and 300 e-signatures per year; Premium lists both as unlimited.
- Which integrations do I need, and which tier unlocks them? Core lists HRIS, file storage and SCORM integrations; API access sits on Enterprise.
- How does role-based assignment work at my size? Walk through one real role and one real playbook during the demo.
- What does migration look like? Your SOPs live in docs and heads today; ask what the implementation period does to move them.
The verdict
Trainual solves a real and expensive problem: undocumented knowledge and inconsistent training. For a growing team hiring into the same roles more than once, playbooks, role assignment and completion tracking are worth paying for, and the tier ladder is differentiated by real capability steps: training paths and e-signatures on Pro, branding and SSO on Premium, API access and a dedicated manager on Enterprise.
The catch is pricing opacity. There is no published price at any tier, so the first real number arrives in a sales conversation, and the $1,000 one-time implementation fee lands before the library exists. Get the full quote for your seat count, including renewal terms, in writing before you build your training library inside it.
